BASIL Virtual Mentorship Program

Overview

The BASIL Virtual Mentorship Program is an initiative of the Blacks of the American Society of International Law (BASIL), a task force of the American Society of International Law (ASIL). The program is operated in collaboration with Konseye: The Mentorship Network, an initiative of Amaryllis Sage LLC, which administers the platform and day-to-day program operations on BASIL's behalf.

For the purposes of applicable data protection law, BASIL/ASIL and Amaryllis Sage LLC are joint data controllers in respect of personal information collected through this program. Where this policy refers to "we," "us," or "our," it means BASIL and Konseye/Amaryllis Sage LLC acting together in that capacity.

This Privacy Policy explains what personal information we collect when you participate in or interact with the BASIL Virtual Mentorship Program, why we collect it, how we use it, and what rights you have in relation to it. Please read it alongside our Terms and Conditions.

Summary

We collect the information you give us when you register and participate in the program. We use it to run the program, manage session bookings, and communicate with participants.

 

We do not sell your personal information.

 

We do not use it for advertising.

 

We share it only with the service providers that help us operate the platform, and with BASIL/ASIL for program oversight purposes.

Depending on where you live, you have rights to access, correct, delete, and port your personal information. You can exercise those rights by contacting us at basil@konseye.org.

1. What Information We Collect

Information you provide directly

When you register as a participant — whether as a mentor or a mentee — we collect the information you submit through the registration process. This typically includes:

  • Your name and email address

  • Your professional information, such as your current role, organisation, area of legal practice or study, and years of experience

  • Your country or region of residence

  • Any biographical information or areas of expertise you choose to provide for your participant profile

  • Your preferences for session topics and mentoring goals

 

If you contact us directly, to ask a question, report a concern, or provide feedback, we will retain that correspondence.

Information collected automatically

When you visit the program website, certain technical information is collected automatically. This includes your IP address, browser type, device characteristics, and usage data such as which pages you visit and when. This information is collected through the Wix.com platform on which the website is hosted and is used for security, performance monitoring, and improving the program experience.

We use cookies and similar technologies as described in Section 6 below.

Information we do not collect

We do not collect sensitive personal information, such as racial or ethnic origin, health data, or financial information. We do not collect information from individuals under 18 years of age.

2. How We Use Your Information

We use the personal information we collect for the following purposes:

  • To administer the program: processing your registration, managing session bookings, matching mentors and mentees, and sending you session confirmations and reminders

  • To communicate with you: responding to your enquiries, sending you program updates, and notifying you of relevant events or opportunities

  • To improve the program : analyzing participation patterns and feedback to make the program more effective and accessible

  • To ensure the safety and integrity of the community: investigating and responding to reports of conduct that may violate our Terms and Conditions

  • To report on program impact: preparing aggregated, anonymized data for BASIL and ASIL on program reach and outcomes

  • To comply with legal obligations:  where we are required by law to process or retain your information

 

We will only use your personal information for the purposes described above or for purposes clearly compatible with them. If we wish to use your information in a new or different way, we will notify you and, where required, seek your consent.

3. Legal Bases for Processing (GDPR and UK GDPR)

If you are located in the European Economic Area (EEA), the United Kingdom, or another jurisdiction with equivalent data protection laws, this section applies to you.

We process your personal information on the following legal bases:

  • Performance of a contract — Processing your registration information and managing your participation in the program is necessary to fulfil the agreement you enter into when you register.

  • Legitimate interests — We process certain information, such as usage data and programme communications, where it is reasonably necessary for the operation and improvement of the program and where those interests are not overridden by your rights and freedoms.

  • Consent — Where we send optional communications, such as newsletters or programme updates beyond what is operationally necessary, we do so only with your consent. You may withdraw consent at any time by contacting us at [contact email] or clicking the unsubscribe link in any such communication.

  • Legal obligation — We may process or retain information where required by applicable law.

4. Who We Share Your Information With

We do not sell your personal information. We share it only in the following circumstances:

Between BASIL/ASIL and Konseye/Amaryllis Sage LLC

Because the program is a collaboration between BASIL and Konseye, information you provide is accessible to both organisations for the purposes of running the program. BASIL/ASIL receives aggregated and, where relevant, individual participation data for program oversight purposes.

Service providers and platform operators

The program website is hosted on the Wix.com platform. Wix.com and its affiliated service providers may process your personal information as part of providing hosting, security, and operational infrastructure. These providers are bound by data processing agreements and may only use your information as directed. For more information on Wix's data practices, see www.wix.com/about/privacy.

We may also use additional third-party tools for communications, scheduling, and program administration. Where we do, we ensure appropriate data protection terms are in place.

With your consent

If you agree to be featured in program communications, reports, or promotional materials, we may share your name, profile, or attributed statements in connection with the program as agreed. You may withdraw this consent at any time.

When required by law

We may disclose your information where required to do so by law, court order, or regulatory authority, or where necessary to protect the rights, safety, or property of participants or the program.

5. International Data Transfers

The BASIL Virtual Mentorship Program serves a global community. Your personal information may be transferred to and processed in countries other than your own, including the United States, where ASIL and Amaryllis Sage LLC are based.

If you are located in the EEA or UK, we ensure that any transfer of your personal information outside those regions is carried out in accordance with applicable data protection law — including, where applicable, through the use of the European Commission's Standard Contractual Clauses. 6. Cookies and Tracking Technologies

The program website uses cookies and similar tracking technologies to support site functionality, security, and performance analysis. Cookies are small data files stored on your device when you visit a website.

7. How Long We Keep Your Information

We retain your personal information for as long as your participant account is active and for a reasonable period thereafter, to the extent necessary to fulfil the purposes set out in this policy or as required by law.

If you ask us to delete your account or withdraw from the program, we will remove your personal information from our active records. We may retain limited information where necessary to comply with legal obligations, resolve disputes, or maintain the integrity of program records.

8. How We Keep Your Information Safe

We take reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, misuse, or alteration. The program website is hosted on the Wix.com platform, which maintains security standards including encrypted data storage and firewall protections.

No electronic transmission or storage system is entirely secure. While we work hard to protect your information, we cannot guarantee its absolute security. You should access the program website and your account from a secure environment.

9. Children and Minors

The BASIL Virtual Mentorship Program is intended for individuals 18 years of age and older. We do not knowingly collect personal information from anyone under 18. If we become aware that a participant is under 18, we will remove their information and deactivate their account promptly. 10. Your Privacy Rights

Depending on where you are located, you may have the following rights in relation to your personal information:

If you are in the EEA, UK, or Switzerland: Under the General Data Protection Regulation (GDPR) and equivalent laws, you have the right to:

  • Access the personal information we hold about you

  • Request correction of inaccurate or incomplete information

  • Request erasure of your personal information ("right to be forgotten"), subject to applicable legal requirements

  • Restrict or object to the processing of your personal information

  • Receive your personal information in a portable, machine-readable format

  • Withdraw consent at any time, where processing is based on consent

  • Lodge a complaint with your national data protection supervisory authority. A list of EEA supervisory authorities is available at ec.europa.eu/justice/data-protection/bodies/authorities. If you are in Switzerland, contact the Federal Data Protection and Information Commissioner at edoeb.admin.ch.

If you are a California resident: Under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), you have the right to:

  • Know what personal information we collect, use, disclose, and sell

  • Request deletion of your personal information

  • Correct inaccurate personal information

  • Opt out of the sale or sharing of your personal information (we do not sell personal information)

  • Non-discrimination for exercising your privacy rights

You may designate an authorised agent to submit requests on your behalf. We may require verification of your identity or your agent's authorisation before processing a request.

For all participants: Regardless of your location, you may at any time:

  • Request access to or a copy of the personal information we hold about you

  • Ask us to update or correct your information

  • Ask us to delete your account and personal information

  • Opt out of non-essential communications

11. How to Exercise Your Rights

To exercise any of the rights described above, please contact us using the Contact Us form. We will respond to your request within 30 days, or sooner where required by applicable law. We may ask you to verify your identity before processing your request.

12. Updates to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we do, we will post the updated version on this page with a revised "Last Updated" date. For material changes, we will notify registered participants by email. We encourage you to review this policy periodically.
